About the database
Database fields
The database fields are formatted as follows:
- Source
- Salutation
- First name and last name
- Job title
- Company
- Sector type
- Cuisine type (restaurant)
- Numbers of rooms (hotels)
- AA or Visit Britain rated
- Email 1 and email 2
- Holding company
- Address 1, address 2 and address 3
- Town, county, postcode, country
- Phone 1, phone 2, fax and mobile
- Website 1 and website 2
The database does not include supplier, educational, government, media or overseas contacts. These are all held separately.
Sourcing email addresses
Hospitality Databases source information from a variety of channels. These include:
- Trade magazines and directories
- Internet directories and online magazines
- Partnerships with suppliers
- Partnerships with pubcos, restaurant and hotel groups
- Registrations on www.hospitalitydatabases.co.uk
- Partnerships with associations and trade bodies
When data is received through partnerships, it is always cross-checked before being appended into the main database.
Database maintenance
Hospitality Databases use the following methods to maintain the accuracy of the database:
Post Office matching:
The database is regularly run through the Post Office’s postcode matching system. This produces a list of records that do not match the details held by the Post Office. These “unclassified” records are then cross-checked for inaccuracies.
Postal returns:
After every direct mail campaign, clients send us postal returns and update us with a list of inaccuracies they have found. Where a record had been returned or an inaccuracy found, Hospitality Databases do not charge for returned or inaccurate records.
Email bounce backs:
The reporting system on www.dotmailer.co.uk identifies all emails that have bounced back (not been delivered). These bounce back emails are then cross-checked for inaccuracies.
Hospitality Databases do not charge for emails that are not delivered.
Data Protection
All email campaigns carried out by Hospitality Databases Ltd must abide with the Data Protection Act 2003.
All the email addresses held are trade email addresses or refer to a commercial outlet.
Hospitality Databases Ltd will not send out an email campaign where the following are not included:
- Unsubscribe facility
- Contact name
- Full contact details
- A message appropriate to the recipient
The email broadcast platform used by Hospitality Databases Ltd, www.dotmailer.co.uk, maintain a national register of email addresses that do not wish to receive external correspondence.

Database integrity
All the postal data we supply is strictly controlled and mousetraps/seeds are embedded within the data to guard against unauthorised use.
All email campaigns are run through an email broadcast platform. Hospitality Databases use www.dotmailer.co.uk The data is not made available to clients, although we would be more than happy to meet and demonstrate any facet of the email database.
